Service Terms

These terms explain how we provide our handyman and property maintenance services, including quotes, bookings, payments, cancellations, and how we handle any issues. Please read them before booking work with us.

These Terms of Service apply to all work carried out by Swindon Handyman Services Ltd, trading as Swindon Handyman Services (“we”, “us”, “our”) for residential customers, landlord customers and commercial customers (“you”, “your”).

By requesting a quote, booking work with us, allowing us to carry out work, or purchasing any of our services, you agree to these Terms.

Nothing in these Terms affects your legal rights as a residential consumer.

2. Our Services

We provide general handyman and property maintenance services across three main service areas:

  1. Residential services — for homeowners, tenants and residential properties.
  2. Landlord services — for landlords, letting agents and rental properties.
  3. Commercial services — for businesses, offices, shops and commercial premises.

Our services may include general repairs, maintenance, fittings, assembly, minor property improvements, tenancy maintenance, commercial maintenance and other practical handyman services.

We do not carry out gas work, major plumbing, regulated electrical work or structural work. Where a job requires a qualified or specialist trade, we may decline the work, recommend a suitable specialist, or arrange specialist support where agreed.

Carpet & Upholstery Cleaning Terms

These additional terms apply where we provide carpet cleaning, upholstery cleaning, rug cleaning, stain treatment, odour treatment, end-of-tenancy carpet cleaning or commercial carpet and upholstery cleaning.

These terms apply to residential customers, landlord customers and commercial customers, alongside our main Terms of Service.

Where there is any conflict between these carpet and upholstery cleaning terms and our main Terms of Service, these cleaning terms will apply to the cleaning service only.

1. Cleaning Services Covered

Our carpet and upholstery cleaning services may include:

  • Carpet cleaning
  • Stairs and landing carpet cleaning
  • Upholstery cleaning
  • Sofa cleaning
  • Armchair cleaning
  • Dining chair cleaning
  • Office chair cleaning
  • Rug cleaning, where suitable
  • Stain treatment, where possible
  • Odour treatment, where possible
  • End-of-tenancy carpet cleaning
  • Commercial carpet and upholstery cleaning

We use professional machine cleaning and suitable professional cleaning products.

We do not use customer-supplied cleaning products unless specifically agreed in advance.

2. Residential, Landlord and Commercial Cleaning

We provide carpet and upholstery cleaning for:

Residential customers

This includes cleaning in homes, flats and domestic properties.

Landlord customers

This includes rental property carpet cleaning, end-of-tenancy cleaning, pre-let refreshes, furnished property upholstery cleaning and cleaning between tenancies.

Commercial customers

This includes offices, shops, customer-facing spaces, commercial seating, office chairs, meeting rooms, reception areas and other suitable commercial premises.

Commercial customers are responsible for ensuring the area is ready and safe to clean around staff, customers, stock, equipment and business operations.

3. Quotes and Pricing

Cleaning prices are based on the information available at the time of quoting.

Quoted prices usually assume standard soiling unless stated otherwise.

The final price may depend on:

  • Size of the area
  • Number of rooms or items
  • Access
  • Carpet or fabric type
  • Level of soiling
  • Number and type of stains
  • Odours
  • Pet-related marks or odours
  • Condition of the carpet, rug or upholstery
  • Whether additional treatment is required
  • Whether the work is residential, landlord or commercial

Heavily soiled carpets, multiple stains, strong odours, pet contamination, difficult access or additional treatment may increase the price.

Website prices are guide prices only. The confirmed quote or invoice takes priority.

4. Bookings, Cancellations and Payment

Carpet and upholstery cleaning bookings follow the same booking, cancellation and payment terms as our main Terms of Service.

Unless agreed otherwise:

  • Residential customers pay on completion.
  • Landlord customers pay within 7 days of invoice.
  • Commercial customers pay within 7 days of invoice.

We do not apply an automatic cancellation charge. However, where costs have already been committed and this has been agreed, we may need to recover those costs where legally permitted.

For residential customers, cancellation rights may depend on how and where the booking was made. Nothing in these terms affects your legal rights as a residential consumer.

5. Customer Preparation Before Cleaning

You must make sure the area is ready before we arrive.

This includes clearing, where practical:

  • Personal items
  • Small furniture
  • Toys
  • Paperwork
  • Cables
  • Fragile items
  • Valuable items
  • Loose items
  • Anything that may obstruct cleaning

The area must be safe, clear and suitable for the work to be carried out.

If the area is not ready, access is unavailable, or cleaning cannot be carried out safely, the appointment may need to be rearranged.

6. Access to Electricity and Water

You must provide reasonable access to electricity and water where required for machine cleaning.

If suitable access to electricity, water or the cleaning area is not available, we may be unable to carry out the work as planned.

7. Furniture Moving

Furniture moving can be discussed when quoting.

Unless agreed otherwise, you are responsible for moving:

  • Heavy furniture
  • Fragile items
  • Valuable items
  • Large sofas
  • Beds
  • Wardrobes
  • Fixed furniture
  • Difficult-to-move items

Where we agree to move light furniture, we will take reasonable care. However, we may refuse to move any item we believe is too heavy, fragile, unsafe, valuable or unsuitable to move.

8. Suitability of Carpets, Rugs and Upholstery

Cleaning is subject to material suitability and condition.

Antique, delicate, specialist-care or high-value rugs, carpets and upholstery may require assessment before cleaning.

We may decline to clean any carpet, rug, upholstery or fabric item that we believe is unsuitable, unsafe, too delicate or at risk of damage.

Leather, suede, velvet, silk and specialist fabrics are excluded unless specifically assessed and agreed before cleaning.

Rugs are cleaned on-site only, where suitable.

9. Testing and Spot Checks

Where practical, we may carry out a small test area before cleaning.

A test area may help identify obvious colour, fabric or cleaning issues, but it does not guarantee that the same result will be achieved across the whole carpet, rug or upholstery item.

Some issues may only become visible during or after cleaning.

10. Cleaning Results

Cleaning results vary depending on:

  • Material type
  • Age
  • Condition
  • Level of soiling
  • Wear and tear
  • Type of stain
  • Source of odour
  • Previous cleaning attempts
  • Previous cleaning products used
  • Sun fading
  • Colour stability
  • General fabric or carpet condition

We will always aim to provide honest guidance before starting, but we cannot guarantee that every stain, mark, odour or area of soiling will be fully removed.

11. Stains and Odours

Customers should tell us where possible about any known:

  • Stains
  • Spills
  • Odours
  • Pet accidents
  • Urine marks
  • Previous cleaning attempts
  • Products previously used
  • Known problem areas

Stain and odour treatment may improve the appearance or freshness of carpets and upholstery, but full removal cannot be guaranteed.

Some stains or odours may reappear after cleaning, especially where they have soaked into carpet backing, underlay, upholstery padding or deeper layers.

12. Pet Stains and Urine Odours

Pet stains and urine odours require particular caution.

Urine and other pet-related contamination can soak below the surface into:

  • Carpet backing
  • Underlay
  • Upholstery padding
  • Flooring
  • Subflooring
  • Deeper fabric layers

Cleaning may improve the issue, but it may not fully remove staining or odour where contamination has gone below the surface.

Odours may return after cleaning if the source remains in deeper layers that cannot be fully reached by normal carpet or upholstery cleaning.

13. Pre-Existing Damage, Wear and Previous Treatments

We are not responsible for pre-existing damage, wear or condition issues, including:

  • Fading
  • Colour loss
  • Sun damage
  • Shrinkage
  • Loose fibres
  • Worn patches
  • Weak seams
  • Loose stitching
  • Previous cleaning damage
  • Damage caused by previous cleaning products
  • Old stains
  • Permanent marks
  • Existing odours
  • Deterioration caused by age or wear

Cleaning can sometimes make pre-existing issues more visible.

14. Colour Loss, Dye Transfer and Fabric Reactions

Some carpets, rugs and upholstery may react during or after cleaning because of:

  • Age
  • Wear
  • Sun fading
  • Unstable dyes
  • Previous treatments
  • Previous cleaning products
  • Manufacturer defects
  • Fabric sensitivity
  • Colour weakness
  • Existing damage

We will take reasonable care when cleaning, but we are not responsible for colour loss, dye transfer or fabric reactions caused by pre-existing condition, unstable dyes, previous treatments or manufacturer issues.

15. Drying Times

Drying times vary depending on:

  • Material
  • Ventilation
  • Temperature
  • Humidity
  • Cleaning method
  • Level of cleaning required
  • Amount of moisture retained
  • Carpet pile or fabric thickness

We will provide basic guidance after cleaning, but drying times cannot be guaranteed.

16. Aftercare and Safety

After cleaning, customers are responsible for following any aftercare guidance provided.

This may include:

  • Allowing carpets, rugs and upholstery to dry properly
  • Keeping the area ventilated where possible
  • Avoiding unnecessary use of damp areas
  • Taking care when walking from damp carpets onto hard floors
  • Avoiding replacing furniture too soon
  • Keeping children, pets and vulnerable people away from damp areas where appropriate

Damp carpets, rugs or upholstery may present a slipping or transfer risk, especially near hard flooring.

We are not responsible for issues caused by failure to follow aftercare guidance.

17. Sanitisation, Disinfection and Allergens

Our carpet and upholstery cleaning service is a cleaning and freshening service.

It is not a sanitisation, disinfection, allergen-removal, pest-control, biohazard or medical-grade cleaning service.

We do not guarantee removal of all:

  • Bacteria
  • Germs
  • Viruses
  • Allergens
  • Dust mites
  • Mould spores
  • Contaminants
  • Biological matter

Customers requiring specialist sanitisation, disinfection, allergen treatment, pest treatment or hazardous cleaning should contact an appropriate specialist provider.

18. Unsafe or Unsuitable Cleaning Jobs

We may decline any cleaning job that we consider unsafe, unsuitable or outside normal carpet and upholstery cleaning.

This may include, but is not limited to, situations involving:

  • Heavy contamination
  • Hazardous substances
  • Unsafe access
  • Unsuitable fabrics
  • Excessive mould
  • Pest infestation
  • Fire or smoke damage
  • Severe odour contamination
  • Bodily fluids or biological contamination
  • Any condition we believe requires specialist cleaning

If we arrive and reasonably believe the job is unsafe or unsuitable, we may decline or rearrange the work.

19. Issues and Complaints

If you believe there is an issue with carpet or upholstery cleaning, you must notify us within 48 hours of completion.

We must be given a reasonable opportunity to inspect the issue and, where appropriate, review the matter.

We are not responsible for issues reported after this period where we have not had a fair opportunity to inspect the item or area promptly.

This does not affect your legal rights as a residential consumer.

20. Relationship With Main Terms of Service

These carpet and upholstery cleaning terms form part of our main Terms of Service.

All other relevant sections of our main Terms of Service continue to apply, including sections covering:

  • Quotes and pricing
  • Bookings
  • Deposits
  • Payment terms
  • Cancellations and rescheduling
  • Access
  • Customer-supplied information
  • Photographs
  • Insurance and liability
  • Delays outside our control
  • Complaints
  • Privacy
  • Governing law

3. Residential Services

Residential services are for customers who require handyman or maintenance work at a home or domestic property.

This may include, for example:

  • General home repairs
  • Flat-pack assembly
  • Shelving, mirrors and picture hanging
  • Curtain poles and blinds
  • Door handles, hinges and locks
  • Silicone and sealant replacement
  • Small decorating touch-ups
  • Garden and outdoor repairs
  • Fence and gate repairs
  • Pressure washing
  • Moving-in or moving-out job lists
  • Urgent non-specialist household repairs

Residential customers are usually expected to pay on completion of the work unless agreed otherwise in writing.

If you are not the property owner, you are responsible for ensuring you have permission for any work requested.

4. Landlord Services

Landlord services are for landlords, letting agents, property owners and rental property managers.

This may include, for example:

  • Tenancy maintenance
  • Tenant-reported repair support
  • End-of-tenancy repairs
  • Pre-let property refreshes
  • Property snagging
  • Fixture and fitting repairs
  • Minor repairs and maintenance
  • Garden tidy-ups
  • Silicone and sealant replacement
  • Basic property condition feedback
  • Ongoing landlord maintenance packages

You are responsible for ensuring that we have safe, lawful and reasonable access to the property. This includes arranging tenant permission, keys, agent access or any other access arrangements required.

Where unattended access is agreed, you remain responsible for ensuring that access is authorised, suitable and available at the agreed time.

5. Commercial Services

Commercial services are for businesses, offices, shops, commercial landlords, property managers and other non-residential premises.

This may include, for example:

  • General commercial maintenance
  • Office repairs
  • Retail premises support
  • Furniture assembly
  • Shelving and storage installation
  • Door repairs and adjustments
  • Washroom and staff area maintenance
  • Signage and display fitting
  • Planned maintenance visits
  • Commercial snagging
  • Project-based maintenance work

Commercial customers are responsible for ensuring safe and reasonable access to the site and work area.

Where any parking, permit, loading, access or similar costs apply, these will only be charged where agreed in advance or included in the quote.

6. Quotes and Pricing

We offer free quotes.

Website prices are guide prices only. The final price will be based on the confirmed quote or invoice.

Unless stated otherwise, prices may depend on:

  • The type of work required
  • Time needed
  • Materials
  • Access
  • Parking or site requirements
  • Urgency
  • Whether specialist trades are required
  • Whether the work is residential, landlord or commercial
  • Whether the job is within our standard service area

Quotes are valid for 30 days unless stated otherwise.

Where a fixed price is agreed, that price is based on the information available at the time of quoting. Quotes are given for the work described by you and do not include additional, hidden or unexpected work discovered later unless specifically stated.

Unless stated otherwise, materials, disposal, additional work and specialist services are not included beyond what is set out in the quote.

7. Minimum Charges

A minimum charge applies to bookings, based on the applicable first-hour or call-out price.

The exact minimum charge will be confirmed in the quote or booking confirmation.

8. VAT

We are not currently VAT registered, so VAT is not currently charged on our prices.

If this changes, VAT may be added where applicable and our pricing will be updated accordingly.

9. Bookings and Acceptance

A booking is treated as agreed once the job, date and booking details have been confirmed by message, email, phone, verbally, or through our website.

Where we require a deposit, the booking is only secured once that deposit has been paid.

We reserve the right to decline or rearrange work where:

  • The job is outside our normal services
  • The work requires a specialist or regulated trade
  • Access is unsafe or unsuitable
  • The work area is not ready
  • The customer has provided incomplete or inaccurate information
  • Materials are unavailable
  • The working environment is unreasonable
  • Previous invoices remain unpaid

10. Deposits

We may ask for a deposit for larger jobs or where materials need to be ordered in advance.

Where a deposit is required, this will be confirmed before the booking is secured.

Deposits may be used towards:

  • Securing the booking
  • Ordering materials
  • Reserving time for larger work
  • Covering committed costs

For landlord and commercial customers, any deposit paid may be non-refundable where a booking is cancelled late or where costs have already been committed.

For residential customers, any rights you have under consumer law will still apply.

11. Payment Terms

For residential customers, payment is due on completion of the work unless agreed otherwise in writing.

For landlord customers and commercial customers, payment is due within 7 days of invoice unless otherwise agreed.

Accepted payment methods are:

  • Bank transfer
  • Card payment

We do not currently apply automatic late payment fees. However, overdue invoices must still be paid on time.

Late or non-payment may result in:

  • No further work being carried out
  • Future bookings being refused
  • Ongoing packages being paused or cancelled
  • Outstanding sums being pursued

12. Landlord and Commercial Maintenance Packages

We may offer landlord and commercial maintenance packages on a monthly or quarterly basis.

Package details, included hours, scope of work and pricing will be confirmed separately in writing.

Unless agreed otherwise:

  • Packages may be monthly or quarterly
  • Payment terms will be confirmed in the quote or invoice
  • Unused hours do not roll over
  • Unused hours expire at the end of the relevant month or quarter
  • Materials are charged separately unless included in the package
  • Specialist trades are not included unless specifically agreed
  • Packages can be cancelled with 30 days’ notice

We reserve the right to review or amend package pricing where the scope, workload or property requirements change.

13. Cancellations and Rescheduling

We aim to be flexible where possible.

If you need to change or cancel a booking, please contact us as soon as possible by email or through the website contact form.

We do not apply an automatic missed appointment or late cancellation charge under these Terms.

However, if costs have already been committed, such as materials ordered specifically for your job, we may need to recover those costs where legally permitted and where this has been clearly agreed.

For residential customers, cancellation rights may depend on how and where the booking was made. Nothing in these Terms affects your legal rights as a residential consumer.

14. Residential Cancellation Rights

Where a residential booking is made remotely, such as by website, email, phone or message, or away from our business premises, you may have legal cancellation rights.

If you ask us to begin work before any cancellation period has ended, you may still be responsible for paying for work already carried out, materials already supplied, and reasonable costs already committed.

This section does not limit any legal rights you have as a residential consumer.

15. Access to the Property or Site

You are responsible for ensuring that we have safe, lawful and reasonable access to the property, site and work area at the agreed time.

This includes ensuring that:

  • The work area is clear and suitable
  • Any required permission has been obtained
  • Any keys, codes or access details are available
  • Any tenant, landlord, agent or site contact has been informed
  • The area is safe for work to begin
  • Parking or loading arrangements have been discussed where relevant

If access is not available, or the area is not ready for the agreed work, the appointment may need to be rearranged.

Unattended access may be agreed, but you remain responsible for arranging permission and access details.

16. Arrival Times and Appointments

Appointments are booked for agreed dates.

Depending on the type of work and workload, we may provide either an estimated arrival time or a time slot rather than guaranteeing an exact time.

We will always try to attend as agreed, but exact timings cannot always be guaranteed.

17. Working Hours

Work is normally carried out during our standard working hours.

Out-of-hours, evening or weekend work is not normally offered unless specifically agreed in advance.

Where out-of-hours or weekend work is agreed, any additional cost will be confirmed in the quote.

18. Service Area and Travel

Our standard service area is Swindon and surrounding areas.

Travel is generally included for work within our standard service area.

Work outside our standard service area may be quoted separately and may be subject to additional travel time or travel cost.

19. Materials

Materials may either be supplied by you or sourced by us, depending on what is agreed for the job.

Where we source materials, these will usually be charged at cost only and in addition to labour unless otherwise stated in the quote.

If you supply your own materials, fittings, fixtures, paint, furniture, brackets, blinds or other items, we are not responsible for:

  • Missing parts
  • Manufacturing faults
  • Defects
  • Poor quality
  • Incorrect sizing
  • Unsuitability for the intended job
  • Missing instructions
  • Damage caused by defects in the supplied item

We may install customer-supplied items where possible, but we accept no responsibility for faults in those items or whether they are suitable for the job.

We may refuse to install customer-supplied items where we believe they are unsafe, unsuitable, defective or likely to cause damage.

20. Drilling, Fixing, Hanging and Mounting

For jobs involving drilling, fixing, hanging, mounting or attaching items to walls, ceilings, floors or other surfaces, you are responsible for telling us about any known:

  • Hidden pipes
  • Hidden cables
  • Underfloor heating
  • Weak walls
  • Poor plaster
  • Damp or damaged surfaces
  • Restrictions in leases, tenancy agreements or building rules
  • Previous damage or repair work
  • Any other known issue that may affect the work

We will take reasonable care when carrying out this type of work. However, we are not responsible for hidden issues that could not reasonably be seen or known before the work started, unless damage is caused by our negligence.

We may refuse to continue with work if we believe the surface, structure, wall, product or requested fitting is unsafe or unsuitable.

21. Hidden Issues and Extra Work

If we discover hidden problems, unexpected damage, unsafe conditions, poor surfaces, defective fixings, unsuitable materials or additional work not visible at the time of quoting, we will explain the issue and agree any extra cost with you before continuing.

Examples may include:

  • Rotten timber
  • Crumbling plaster
  • Damaged walls
  • Hidden leaks
  • Unsafe electrics
  • Poor previous workmanship
  • Structural concerns
  • Missing parts
  • Inaccurate measurements
  • Unsuitable products

We may refuse to continue with a job if we believe the work area, structure, product or requested task is unsafe.

22. Customer-Supplied Information

You are responsible for ensuring that the information you give us about the job is accurate and complete.

This includes:

  • Measurements
  • Item specifications
  • Photos
  • Condition of surfaces
  • Access arrangements
  • Parking arrangements
  • Property type
  • Whether you own the property
  • Any known risks or restrictions
  • The nature of the work required

If the actual work required is materially different from what was described when quoted, we may need to revise the quote or rearrange the work.

23. Specialist Trades and Third Parties

Some jobs require a qualified specialist or a larger project team.

Where appropriate, we may recommend specialist trades, subcontractors or trusted tradespeople.

There are two possible arrangements:

23.1 Recommendation Only

Where we simply recommend a specialist trade, you may contract with that person or business directly.

In that situation, we are not responsible for their:

  • Workmanship
  • Pricing
  • Availability
  • Timescales
  • Insurance
  • Advice
  • Materials
  • Terms and conditions

23.2 Managed Specialist Work

Where we agree to manage specialist work as part of a larger job, this will be confirmed in the quote.

The quote will explain, where relevant:

  • Who is carrying out the work
  • Who is responsible for payment
  • Who is responsible for communication
  • What is included
  • What is excluded
  • Any separate terms that apply

Work may be carried out by directors, employees, subcontractors or trusted trades, depending on the job and what has been agreed.

24. Urgent or Responsive Support

We may offer urgent or responsive support where available.

This may include urgent but non-specialist repairs such as:

  • Broken handles or locks
  • Loose fixtures or fittings
  • Minor sealant issues
  • Damaged fencing or gates
  • Doors or windows not closing properly
  • Basic household, landlord or commercial repairs

Customers should contact an appropriate emergency specialist for serious plumbing, electrical, gas, security or structural issues.

25. Job Completion

Work is treated as complete once:

  • The agreed task has been carried out; or
  • Where you are not present, suitable evidence such as photos or confirmation has been provided.

Payment is due in line with the payment terms set out above.

If you believe there is an issue with the work, you must notify us within the timeframe set out in these Terms.

26. Workmanship, Issues and Complaints

We do not offer a formal workmanship guarantee.

However, if you believe there is an issue with the work carried out, you must notify us within 48 hours of completion.

We must be given a reasonable opportunity to inspect the issue and, where appropriate, put it right.

We are not responsible for complaints or damage that are reported after this period where we have not had a fair opportunity to inspect the issue promptly.

This does not affect your legal rights as a residential consumer.

We aim to acknowledge complaints within 2 working days.

27. Missed Appointments

If an appointment is missed or needs to be rearranged because you are unavailable, access cannot be gained, or the work area is not ready, we will rearrange where possible.

We do not apply an automatic missed appointment charge under these Terms.

However, where costs have already been committed, such as materials ordered specifically for your job, we may need to recover those costs where legally permitted and where this has been clearly agreed.

28. Waste Removal and Tidy-Up

Basic tidy-up of the immediate work area is included.

Removal or disposal of waste, packaging, old materials or unwanted items is not included unless specifically agreed.

Where waste removal or disposal is requested, this may be charged separately.

29. Photographs

We may take photographs before, during or after the work for the purposes of:

  • Preparing quotes
  • Keeping job records
  • Evidencing completed work
  • Recording property condition
  • Supporting landlord or commercial job updates

We will not use photographs publicly for marketing or promotional purposes without your permission.

30. Insurance and Liability

We aim to carry out all work with reasonable care and skill.

We maintain public liability insurance appropriate for the services we provide.

We are only responsible for damage to customer property where that damage is caused by our negligence.

To the fullest extent permitted by law, our liability is limited to the level of applicable insurance cover.

To the fullest extent permitted by law, we are not liable for:

  • Indirect losses
  • Consequential losses
  • Loss of profit
  • Loss of business
  • Loss of revenue
  • Loss of opportunity
  • Losses that were not reasonably foreseeable
  • Losses caused by inaccurate information supplied by you
  • Losses caused by defective customer-supplied items
  • Losses caused by hidden defects or unsafe existing conditions not caused by us

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be excluded.

31. Delays Outside Our Control

We are not responsible for delays caused by circumstances outside our reasonable control.

  • The requested work is outside our services
  • The job requires a specialist or regulated trade
  • We believe the work cannot be completed safely
  • The customer behaves unreasonably or abusively
